Because the College wants to demonstrate its commitment to our donors' privacy, we are pleased to disclose our information practices related to our online giving site below.
Colorado College is the sole owner of the information collected on this site. Our web design partner, Infront Webworks of Colorado Springs, Colorado (www.infront.com), provides the secure infrastructure that facilitates an online gift. The site stores no giving history, nor does it collect or store credit card numbers - those are processed through a third party vendor, VeriSign, whose privacy policies can be reviewed at www.verisign.com. Neither our web design partner nor our credit card processing vendor use personally identifiable information for any secondary purposes.
The on-line giving site takes every precaution to protect our donors' information. We use Secured Sockets Layer encryption (SSL - the best encryption software in the industry) to protect sensitive information online. You can learn more about SSL at www.rsasecurity.com/standards/ssl.
When a donor finishes making a gift online, it triggers an e-mail to authorized staff in our gift records office, containing the information needed to recognize the donor and record the gift in our database. Only the last four digits of the credit card are transmitted via e-mail, for purposes of verification should a problem arise with the gift. Soon after it is received, our gift processors permanently delete the e-mail message from the College's e-mail server. Therefore, not long after the donor submits the gift, the only electronic record of it will be in the College's gift processing database. You should not transmit confidential or sensitive credit card information to us directly using e-mail.
The Colorado College collects the information so that we may record the gift in our gift processing system. This allows us to properly manage gift funds, add the newly received gift to the list of previously recorded gifts for the donor, and mail a written receipt (to supplement the online receipt) if the donor requests it. In general, we do not share gift history with anyone outside the College and, even within the institution, a limited number of individuals have access to it. Volunteers occasionally see a very limited amount of giving history data, generally on a very select population of donors. We generally only share gift history with other third parties when we are working with them to help us analyze giving trends or assist us with fund-raising strategies.
We also do everything in our power to protect donor information off-line. All of our donor information is restricted in our offices. Only employees who need the information to perform a specific job (for example, processing a gift) are granted access to personally identifiable donor information. Volunteers are granted extremely limited access to a small number of donors' information when they are directly involved in a College-approved fundraising effort, always in close partnership with a Development administrator. All employees and development volunteers are periodically reminded of the importance we place on privacy and College policies expressly prohibit employee and volunteer misuse of giving information. Additionally, information about donors in the Development software system is restricted by the software administrator to only those who require it, and resides on a dedicated server in a secure room specifically configured for such hardware. It also benefits from the College's firewall protection afforded to all of its hardware platforms.
The online giving page automatically sends an e-mail to all donors with an official receipt after successful processing of their credit card, and also gives them the option of requesting a snail mail receipt. We store physical addresses, home phone numbers, and e-mail addresses received via this site in our Development software system, and will occasionally mail, phone or e-mail past donors to provide them additional opportunities to support the College. Out of respect for the privacy of our donors, we do offer them the option of not receiving these types of communications. A donor may also correct their giving information or request gift history from the College by contacting Cathey Barbee.
If we decide to change our online giving privacy policy, we will post those changes to this privacy statement. We will use information in accordance with the privacy policy under which the information was collected.
It is possible that we may be required to disclose personal information, when required by law, wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process served on our online giving site. We have never had to, and have a hard time imagining a scenario in which it could happen.
